POPIA CONSENT
In Terms of the Protection of Personal Information Act 4 of 2013
E.K Ballet Studio (“the Studio”) provides dance tuition and, in doing so, collects and processes personal information in the ordinary course of its business.
By enrolling with the Studio, you provide express and informed consent for the collection, processing, storage, and use of your personal information and/or that of your minor or legally dependent child.
1. Purpose of Processing
Personal information is collected and processed for the following purposes:

To give effect to the contractual relationship between you and the Studio.

To administer dance classes, examinations, performances, and competitions.

To share necessary information with relevant dance organisations, including the Royal Academy of Dance where applicable.

To comply with legal and regulatory obligations.

To protect the legitimate interests of the Studio, pupils, parents, and third parties.

For administrative, financial, and debt collection purposes where necessary.

To securely store records in physical or electronic format.
If consent is withheld, the Studio may be unable to provide dance tuition or facilitate participation in examinations or competitions.
2. Photo & Video Consent
The Studio may take photographs and/or video recordings during classes, rehearsals, examinations, performances, or studio events.
These images or recordings may be used for:

Studio marketing and promotional material

The Studio’s website and social media platforms

Competition or examination submissions
-
Studio newsletters or communication materials
No full names will be published without additional consent.
If you do not consent to your child being photographed or recorded, written notice must be provided to the Studio.
3. Communication Consent (WhatsApp & Electronic Communication)
By enrolling, you consent to the Studio communicating with you via:

WhatsApp groups or direct messages

Email
-
SMS
These platforms may be used for class updates, examination information, performance details, fee reminders, and general Studio communication.
Parents are responsible for ensuring their contact details remain accurate and updated.
4. Storage and Security
Personal information will be stored in a secure environment and reasonable technical and organisational measures will be implemented to protect against loss, misuse, unauthorised access, or disclosure.
5. Retention of Information
Personal information will not be retained longer than necessary unless:

Required or authorised by law

Required for lawful business purposes

Required in terms of an agreement

Retained for historical or record-keeping purposes with appropriate safeguards
6. Intended Recipients
Personal information may be shared only with:

Studio administration staff

Relevant dance organisations for examinations or competitions

Contracted service providers necessary for Studio operations
All disclosures will comply with confidentiality and security requirements under POPIA.
7. Your Rights Under POPIA
You have the right to:

Request correction of inaccurate or outdated information

Request deletion of information where legally permissible

Object to processing on reasonable grounds

Withdraw consent at any time (subject to contractual obligations already in place)
Withdrawal of consent may affect participation in classes, examinations, or competitions.
All requests must be submitted in writing to the Information Officer.
8. Marketing
The Studio will not sell or distribute personal information to third parties for independent marketing purposes.
